This process will allow The Port of Virginia’s (POV) Out-of Gauge (OOG)/Cargo Divisions to prepare and set appointments for motor carriers at POV terminals.

Customers can’t be processed without a quote from the VIT Rates Team. If no quote is on file, customers will be directed to vitrates@vit.org for quote generations. Reservations can be scheduled only after a confirmed quote is generated.

  1. The terminal cargo administrator will provide an appointment date and time based on schedule, time required, and customer preference.

    3. Following an email confirmation from the carrier and validated appointment, the terminal cargo administrator will validate the quote and appointment.

    4.  The terminal cargo administrator will gather all relevant information and file for the assistant operations manager (AOM) to review the day prior to the appointment.

  1.        *To secure a reservation, please be prepared with the following information:
    • Import → bill of lading number, VIT rate quote number, cargo dimensions (length/width/height/weight), piece count, container number, cargo schematic, and last free day
    • The driver is to check in with security at least 30 minutes prior to the appointment.
    • The AOM will check-in with driver 15 minutes prior to the appointment. If all is in order, the driver will be directed to the cargo area – work begins.
    • Export → booking number, dock receipt, VIT rate quote number, and cargo schematic.
